Run Service From Your Booking Book
Open Bookings in the sidebar. It opens on Today. A strip of seven days with arrows moves you along the week, the calendar button (Pick a date) jumps to any date, and the Location selector switches shop if you have several. Under the strip, one line gives the day's totals, for example "12 bookings · 38 covers · 2 waiting for an answer".
The day is grouped by service, such as Lunch and Dinner. Each group has a meter that reads, for example, "busiest moment 24 / 30 seats": the most seats taken at the same time, against the seats you have. Each booking is a card with the time, the name and the party size, and a line for the guest's note, dietary need or phone. The coloured edge on the left shows the state at a glance: green confirmed, amber not yet confirmed, purple seated, red late or no-show.
On an empty day the screen offers Share your link, so you can send guests your link.
Requests come first
A booking from a party bigger than your online limit, or any booking when you chose I confirm each one, arrives as a Request and is pinned at the top under Requests. It holds its seats until you answer.
- Accept confirms it. The guest is told at once.
- Decline asks once, then tells the guest.
Hear new bookings
Notify me here on Today shows a notification on this computer or phone when a guest books, sends a request or cancels, for the location on screen, while the page is open. If it says Blocked in your browser, allow notifications for the site in the browser settings. It is not offered in browsers without notifications, such as Safari on iPhone outside a home-screen app.
Work the evening
Click a booking to open the guest panel, then use the buttons for where it is:
1. Seat when they sit down. For a member this records a visit on their loyalty card, with no scan. Seating twice does not count twice. 2. Finish when they leave. That frees the seats. 3. No-show if they never came. It is added to their record, and you see it next time. 4. Cancel for a booking that will not happen. It asks once, then tells the guest. Restore brings back a cancelled booking or a no-show within the day.
The filters All, Requests, Confirmed, Seated, Finished and Cancelled, No-show narrow the list, and the search box finds a name, phone, email or reference. Go back a day with the date arrows to mark any booking you did not close as Finish or No-show.
Phone calls and walk-ins
Click Add booking. Choose How it came in (Phone or Walk-in), the date, the guests and the time, then the guest's name. A phone booking needs a phone number; email is optional here. If the time is full you see This time is full: click Add it anyway to keep it, or Pick another time. A booking added over capacity is marked Over capacity, and it does use up seats for the online guests who come after.
On a phone, Add booking sits in a bar above the bottom navigation, so it stays within reach.
Who is this guest
The panel shows the contact details, the guest's note and a Loyalty line. A member shows their card, visits, last visit and level. A guest who is Not a member yet has no card. It also shows the record, for example "2 no-shows of 9 bookings", and Open customer takes you to their profile. You can write a table name and a Staff note, and change the time or party with Change time or party.
"Blocked online: 2 no-shows in the last 180 days" shows when the rule would stop this guest booking online. Admins and owners can use Same guest as… to join two emails of one person. Their bookings and no-shows then count as one guest, and each email still gets its own messages. Separate undoes it.
Guests are matched to their loyalty card by email. A seated booking counts as a visit, once per booking, unless you switch off Count seated guests as a visit in Settings. On a card whose level is earned by visits, the booking does not move the level: the scan at the table does.
What the guest receives, and when
- At once: a confirmation email with the details, a map link, a calendar file and a link to change or cancel. Members also get a wallet push.
- 24 hours before (only when they booked more than 24 hours ahead): a reminder by email and wallet push, with a link to cancel.
- 3 hours before: a wallet push for members.
- SMS: only if you turned on Text guests a reminder and there are SMS credits, and never to the US. Belgian (+32) numbers can't receive SMS yet.
- Accepted, declined, changed and cancelled bookings each send a message too.
You are told about new bookings at the address under Email me about new bookings, by text for same-day bookings if you set a Phone for alerts, and with a morning email if you turned on Email me the day's bookings every morning.
