Connect Loggro Restobar

What this does

Connect Loggro Restobar and your registers do the loyalty work for you. Your staff take orders and payments the way they always do, with one small habit added: before taking payment, they pick the customer with Buscar cliente. Passtastic sees the paid sale and updates the customer's wallet card, usually within two minutes (Passtastic checks Restobar about every minute). No separate device is needed for earning.

Free-item rewards work in Restobar too. When a customer's stamp card is full, or they swap points for an item from your catalogue, your staff ring up that item, switch on Es cortesía and pick the customer. Passtastic sees the courtesy and takes the reward off the card.

An example: La Esquina, a café with a stamp card. Every paid sale earns a stamp. The cashier taps Buscar cliente, types Camila's phone number, selects her and takes payment; her card gains a stamp a minute or two later. On her tenth visit she asks for her free lemonade: the cashier rings up the lemonade, switches on Es cortesía, picks Camila and taps Guardar. Her card starts again from zero.

This integration is included on every Passtastic plan: Single Location, Multi-Location and Groups & Brands.

What works in Restobar, and what still needs a scan

In Restobar your staff can give:

  • the reward on a full stamp card,
  • an item from your points catalogue,

as long as you linked that reward to the Restobar product they ring up (Step 5).

Discount rewards, level perks and campaign offers still use the scanner app. Restobar can't tell a discount given for a reward apart from any other discount. So a reward such as "10% off", a perk that comes with a customer's level, and anything you send as a campaign offer are confirmed by scanning the customer's card in the Passtastic Scanner app, as today. Keep the app on a phone behind the counter.

Which cards can earn from Restobar sales

  • Stamp cards earn one stamp per paid sale.
  • Points and level cards earn by the points rule attached to the card, per amount spent (for example one point per 1,000 pesos), per visit, or per product (for example 10 points for a coffee, once you link the Restobar products in Step 4). A card with no points rule earns nothing until you set one up.
  • Cards that start with a welcome coupon earn too, as the stamp, points or level card they turn into.
  • Other coupons, bundles (prepaid stamps / prepaid points) and memberships can't earn from Restobar sales, so they don't appear in the list of programs you can switch on.

Before you start

  • Loggro Restobar with an active subscription. There is no add-on to buy from Loggro.
  • A Restobar login that can add users.
  • At least one published points, level or stamp card in Passtastic. If you don't have one yet, create it from Programs → Create New Program.
  • The free Passtastic Scanner app on a phone or tablet, for discount rewards, level perks and campaign offers.

Step 1 — Add a Passtastic user in Restobar

Add a new user in Restobar, the same way you add a staff member, and name it Passtastic. Give it a role that can see sales and add customers. A user of its own keeps Passtastic's access apart from your team's logins, so a staff member who leaves never breaks your loyalty program.

Step 2 — Connect Restobar to Passtastic

1. In your Passtastic dashboard, open Settings, then Integrations (under Business).

2. Find Loggro Restobar and click Set up.

3. Type the Restobar email and Restobar password of the Passtastic user, then click Connect Restobar.

We use the password once to sign in and never store it. Only one Restobar business can be connected to each Passtastic account, and your whole Restobar counts as one register, so it uses one scan point on your plan.

Earning starts from here, not from last month. Sales already in Restobar are not credited backwards. Everything paid from this moment on earns.

Step 3 — Choose which programs earn

Under Which programs earn? you see every published stamp, points and level card. Switch on the ones that should earn from Restobar sales. Every register in your Restobar earns.

Step 4 — Choose the products that earn points

If a points or level program gives points per product (for example 10 points for a coffee), tell Passtastic which Restobar products those are. Under each program that is switched on you see Products that earn points, listing the products in the program's points.

  • Next to a product, click Link a Restobar product, search for the item your staff ring up and pick it. Once a product is linked, the button reads Add, so you can link more than one, for example each flavour of juice.
  • To bring a product in straight from Restobar, click Add a Restobar product, search for it, type the Points per item and click Save. Passtastic adds it to your product list and to the program's points, so you never type it twice.
  • To change a product's points, type the new number in the box next to it; it saves when you click out of the box. It is the program's own number, so the program's Setup shows the same.
  • To take a product out of a program, remove it in that program's Setup.

From then on a paid sale earns those points for each item, without scanning: two coffees at 10 points each earn 20 points. Items given as a courtesy never earn, and neither does an item that was fully discounted to zero. If you void the sale in Restobar, Passtastic takes those points back.

A program that gives points per amount spent or per visit shows Bonus products instead: extra points for those products on top of the program's normal points.

A per-product program earns nothing from Restobar until at least one product is linked. Until then the program shows Not earning.

  • A Restobar product counts as one product per program. The same Restobar product can earn on two different programs, each with its own points. Inside one program it sits on one product only.
  • If two programs use the same points rule, the section names the other one under Also used by. Changing points changes them for both. To add the first bonus product to a program that shares its points rule, go to Settings, then Points & rewards rules (under Business).
  • Viewers see this section but can't change it.

When a program is on, its rewards appear below it under Rewards. For each free-item reward, search for the Restobar product your staff ring up to give it, and pick it. You can pick more than one, for example each flavour of lemonade. From then on, a courtesy of that product for a member redeems the reward.

On a points program you can also create a reward from a Restobar product: click Add a reward from Restobar, pick the product, type the Cost in points and click Save. The reward is added to the program and linked in one step.

  • A Restobar product can give one reward only.
  • A courtesy of a product that isn't linked, or for someone who isn't a member, redeems nothing, so your everyday courtesies (a birthday dessert, a staff meal) are left alone.
  • Rewards that are a discount show Redeem with the scanner app instead of a product list.

What your staff do at the counter

To earn: pick the customer before taking payment.

1. Tap Buscar cliente.

2. Type the customer's phone number, then select the customer from the list. Typing a name without selecting leaves the sale on Consumidor Final.

3. If Restobar asks for Documento, type the customer's cédula. Restobar won't let staff take payment on a customer without an ID number (the pay buttons stay greyed out), and keeps the number for next time.

4. Take payment as usual.

Facturar issues the invoice without taking payment, and the sale earns only once it is paid, from Mesa, then Documentos, then Pagar. Pago Directo takes payment straight away.

A sale left on Consumidor Final earns nothing, and it can't be attached to the customer afterwards. Restobar's customer search finds customers by name, ID number and phone, so scanning the wallet card at the register doesn't pick the customer.

Pick the customer on a fresh bill. A bill that was reopened can still show the customer's name while Restobar invoices it to Consumidor, and that sale earns nothing.

To give a free-item reward:

1. Ring up the reward item, for example the lemonade.

2. Switch on Es cortesía.

3. Pick the customer. Restobar asks for one on every courtesy.

4. Tap Guardar.

If the customer doesn't have enough stamps or points for it, nothing is taken off their card, so check their card before handing the item over.

Your members in your Restobar customers

Your members appear in Restobar on their own. When someone joins your program, Passtastic adds them to your Restobar customers with their name, phone, email and a note starting with Passtastic, so your staff find them with Buscar cliente. They show up even on a register that is already open. Members who joined before you connected are added in the background. Somebody Restobar already has under the same phone number or email is linked, not duplicated.

On programs that earn from Restobar, the sign-up form also shows an optional ID number (cédula) field. Members who fill it in are added to Restobar with it, so your staff can take payment straight away. For members who skip it, staff type the cédula once at their first visit. Customers Restobar already has are linked and left exactly as they are.

You can switch this off with Add members to my Restobar customers automatically on the Loggro Restobar page in Passtastic. Customers already added stay in Restobar, and removing a member in Passtastic never deletes their Restobar customer.

Restobar also keeps its own points counter on each customer. It is separate from Passtastic and your customers never see it, so you can ignore it. They only see the stamps and points on their wallet card.

The 48-hour limit

A tab that is paid more than 48 hours after it was opened does not earn. Keep tabs short, and pick the customer before payment.

Voided sales

Void (anular) a sale in Restobar and Passtastic takes back what that sale earned, usually within two minutes. This only works within 48 hours of the sale being opened: a void after that is not taken back. A card never drops below zero: if the customer has already spent those points, it stops at zero.

If you cancel or delete a courtesy order in Restobar, the reward goes back to the member's card.

Disconnecting

Click Disconnect on the Loggro Restobar page in Passtastic. This is the off switch. Sales stop earning, new members are no longer added to Restobar, and we delete our access to your Restobar straight away. Your customers keep everything they have earned, and nothing is deleted in Restobar.

Troubleshooting

"Restobar did not accept that email and password." Check the email and password of the Passtastic user by signing in to Restobar with them, then try again.

"That Restobar user is switched off." The user is deactivated in Restobar. Turn it back on, or sign in with another user.

"That login is for another Loggro product, not Restobar." The login belongs to another Loggro product, such as POS Tienda. This integration works with Restobar only.

"That Restobar user can't see your sales." Give the user a role in Restobar that can see sales and add customers, then connect again.

"This Restobar business is linked to another Passtastic business." One Restobar business connects to one Passtastic business, even after it has been disconnected there. Contact us and we'll move it.

A banner says Restobar stopped accepting our connection. Restobar refused our access, for example because the Passtastic user was changed or your Restobar subscription lapsed. Sign in again on the Loggro Restobar page in Passtastic; your program settings are kept.

A banner says some members need an ID number. Restobar would not add those members without an ID number (cédula). Add them in Restobar yourself with their phone number; their sales then earn as usual. To avoid this, members can fill in the optional cédula on the sign-up form; for anyone already in Restobar, typing it in Documento at the register fixes it too.

Stamps or points didn't arrive. Most often the customer wasn't picked on the sale. It can also be timing: allow two minutes. A tab paid more than 48 hours after it was opened does not earn. If it still hasn't arrived, check on the Loggro Restobar page that the program is switched on. A sale invoiced with Facturar earns once it is paid.

Points for a product didn't arrive. On the Loggro Restobar page, check under Products that earn points that the product rung up is linked to that program. Items given as a courtesy never earn.

A courtesy didn't redeem the reward. Check that the product rung up is linked to that reward on the Loggro Restobar page, that the courtesy was given to the member (not to Consumidor Final), and that their card had the reward ready.

Common questions

Do I have to create my products in Passtastic first?
No. Click Add a Restobar product on the Loggro Restobar page and Passtastic adds the product to your product list and to the program for you. If your product list already has a product with the same name, that one is used, so nothing is duplicated.
Do two of the same item earn twice?
Yes. Points are counted per item: two coffees at 10 points each earn 20 points.
Can one Restobar product earn on two programs?
Yes. Each program gives its own points for it. Within one program, a Restobar product counts as one product only.

For running loyalty without a POS, or connecting other tools, see POS Systems & Integrations. There is an overview of what Loggro Restobar and Passtastic do together on the Loggro Restobar integration page.
