Points that run out and keeping your level
Two rules live with your card in Setup, next to what they change. Both are included on every plan. Owners, admins and editors can change them; viewers can see them but not edit.
Do points run out?
Open your program → Setup → Points & reward (or Stamps & reward, or Levels & benefits). Under how customers earn you'll see Do points run out? On a stamp card it reads Do stamps run out?, and if you gave your points your own name, it uses that name.
- Never — the default. Nothing expires.
- 12 months after they’re earned — each point lapses on its own date. Set any number of months from 1 to 60.
- Every year on Dec 31 — everything earned before that date expires on it. Pick the month and day; it has to be a date that exists every year.
- All reset if they earn nothing for 90 days — stamp and point cards only: the whole balance resets when a customer goes that long without earning. Set any number of days from 7 to 730.
Warn them 14 days before is on by default as soon as you pick anything other than Never: customers get a notification on their phone such as "120 points expire on Nov 1". You can change the number of days (1 to 60) or write your own message — `{points}` and `{date}` are filled in for each customer (on a stamp card `{points}` is the number of stamps). For All reset, the message uses `{missing}` and `{date}` instead: "Earn 5 more by Nov 1 to keep your balance."
What to know:
- Only points or stamps earned after you switch it on expire. What customers already have stays.
- A shorter period applies to newly earned points or stamps only.
- On a stamp card, a full card keeps its stamps until the reward is used.
- Turning it off cancels every pending expiry.
- While some points are due to expire, the back of the card shows Next to expire, with the amount and the date.
You won't see Do points run out? on a store-credit card (the balance is money), on a card linked to IdoSell (the shop owns the points), or on a level card that levels up by visits and doesn't also collect points — those use Keep your level below. A card that starts with a welcome coupon has no dated choices. Once it's published, a coupon that turns into a stamp or point card offers Never and All reset… only; one that turns into a level card has no Do points run out? row and gets Keep your level instead.
Keep your level
Open Setup → Levels & benefits. Every level except the first shows To stay Gold: Always. (The first level — the lowest one — has no rule: everyone starts there, so nobody can drop below it.) Click Earn a minimum to keep it, then set the number and the period, for example Earn 300 points every 6 months (visits, on a card that levels up by visits). The periods are a month, 3 months, 6 months, a year, or Other (days)… (7 days to 2 years).
- A customer who earns less drops to the level below and gets "You’re now Member — earn 300 points to get Gold back".
- With Warn them 14 days before (on by default, in the Keeping levels panel under your levels), they first get "Earn 120 more points by Nov 1 to stay Gold" — that many days before the drop. You can change the days or write your own Warning and When they drop messages; `{missing}`, `{date}`, `{level}` and `{next}` are filled in for each customer.
- Their spendable points are not touched — only the level drops.
- If a level has its own card look (Setup → Design → Card look for:), the card goes back to the lower level's look when they drop, and changes again when they win the level back.
- Customers get one full period at a level before it’s checked.
- If you remove a level, its rule goes with it, and any active campaign that uses the level is paused when you publish.
Under the warning, the Keeping levels panel has three more notices, each with its own message box (leave it empty to use ours; `{missing}`, `{date}` and `{level}` are filled in for each customer where they apply): Heads-up before they fall short (14 days before by default), Remind them before the drop (7 days before by default, and always fewer days than the warning) and Tell them when they keep their level. The reminder and the last notice only work while the warning is on. A new rule starts with all three on; a rule made before October 2026 shows them off until you switch them on. If they earn what the warning asks for by its date, they keep the level.
Rules made before October 2026 can show Also lower their points to the new level: on, a drop also cuts their points, as before. Turn it off to keep customers' points when they drop. Once it's off and published, it can't be switched on again.
Then press Publish
Both rules go live when you press Publish, like every other Setup change. Until then they show as unpublished changes, and Discard changes drops them.
Where else you'll see them
On the program's Campaigns tab, a SET IN SETUP group lists these rules — for example Points run out and Keep your level — with a link such as Set in Setup → Levels & benefits. They can't be switched on or off or edited there. When you start a New campaign, a tile such as Points that run out or Keeping levels points you to the same place.
