Today's Store Credit on the Scanner

At the end of a shift, staff want to check the day's store credit against the till, and fix a top-up they got wrong this morning. The scanner shows the shop's day and lets them undo their own mistakes, without a manager at a laptop.

Turn it on for a device

Only Owners and Admins can do this.

1. Open Locations, open the shop, and find the device in its Scanners section.

2. Edit the device and, under Permissions, turn on Can see today's totals.

It is off for every scanner until you turn it on, including scanners you already had.

To let a device also fix mistakes made on other devices in the shop, for example when two tills share one cash drawer, turn on Can undo other devices' transactions as well. More on the switches: Change Scanner Permissions.

What your staff sees

On the scanner's home screen, a card shows Today for the shop: Top-ups (money customers paid to add to their balance) and Spent (paid from customers' balances), and how many transactions there were. On a day when cards were sold, the first figure is Total paid instead: top-ups plus cards sold. Tapping it opens the full day.

The full day shows:

  • Today, Yesterday, or Pick a day for the last 30 days.
  • The totals, plus Corrections and anything undone, when there are any.
  • Every transaction, newest first: the customer's name, what happened, the time, and the amount. A transaction made on another device in the same shop shows that device's name.
  • Search by name to find one customer's transactions. The search only filters the list. The totals above it are always the whole day.

The figures are the whole shop's, across every device there. Store credit bought or topped up online isn't included, because it didn't happen at a shop.

An undone transaction stays in the list, crossed out, and no longer counts towards the totals.

Selling pre-loaded cards

If you hand out pre-loaded cards yourself, for example a flyer or card that carries a €12 balance and sells for €10, staff can record the sale at the till.

Set the price. In the dashboard, open the store-credit program, go to Setup and open Pricing (Balance & validity). Fill in Selling price, under Starting balance: what customers pay for a new card at the counter. It shows only for cards you hand out yourself and that are priced in money, and it can't be more than the starting balance. Leave it empty to keep this off.

Record a sale. On the scanner's home screen, open Today. Above the totals, devices that are allowed to top up show a Card sold · €10 button, with the price taken from the card. The button shows only on Today, not on Yesterday or a day you pick. Tap it, check the confirmation ("€10 paid · €12 on the card"), and tap Record sale. Nobody scans the card: staff hand over the pre-loaded card as usual, and the customer installs it whenever they like.

What the totals show. Each kind of money has its own figure, with a small info icon next to it: tap it to see what the figure means.

  • Top-ups: money customers paid to add to their balance.
  • Cards sold: money paid for new pre-loaded cards, and how many were sold.
  • Total paid: top-ups plus cards sold. This is what should be in the drawer.
  • Bonus given: extra balance given free with new cards, that is the balance on the card minus what the customer paid.
  • Spent: balance customers used to pay for purchases.

Cards sold, Total paid and Bonus given show when the card can be sold at the till, or when cards were sold that day. The sale appears in the list as Card sold, and undoing it takes it out of every figure above.

For example, Paolo works the till at Spindle. He sells one card for €10 with €12 on it, tops up another customer's card with €5, and a customer spends €2 on a coffee. The scanner shows Top-ups €5, Cards sold €10 (1 card), Total paid €15, Bonus given €2 and Spent €2.

Undo a sale. Tap Card sold in the list, tap Undo this, then Undo. A sale can only be undone on the day it was made.

In the dashboard, the store-credit section of Business Insights shows the same figures per shop. The Cards sold, Total paid and Bonus given columns appear once there are sales, and every column has an info icon that explains it.

Undo a mistake

1. Tap the transaction. Its details open; nothing is undone yet.

2. Tap Undo this.

3. The confirmation shows what happens to the customer's balance, for example "from EUR 55.50 to EUR 5.50". Tap Undo.

Undoing a top-up only changes the card. No money moves in the till: if the customer paid cash, hand it back yourself.

There's no time limit for top-ups, so a mistake noticed hours later can still be fixed from the same device. A Card sold entry is the exception: it can only be undone on the day it was sold.

When undo isn't offered

Staff see why, and only a Close button:

  • Already undone: nothing more to do.
  • Made on another device, or on the dashboard: this scanner can only undo its own transactions. Ask a manager to fix it on the dashboard, or turn on Can undo other devices' transactions for this scanner.
  • The customer has already spent the balance: undoing it would write off money, so a manager fixes it on the dashboard.
  • Too late to undo: card sales can only be undone on the day of the sale.
