Your Customer Portal: The Page Your Customers Open

Customer portal is the page your customers open for your business. Members see their own card and what they can use today; anyone else sees your links and a way to join. It replaced Business page in your sidebar: same address, same logo and links, and a lot more for your members.

What a member sees

When someone who has your card opens your page, they see:

  • Their card. Stamps, points, level or balance, exactly as on the card in their wallet. A floating Show my code button keeps the card's code one tap away.
  • What they can use today. Rewards they have earned, offers you sent them and included benefits sit in one row of tall cards. Tapping one opens it full screen with Use at the counter.
  • Your messages. Every message you send also stays in their inbox on the page for 180 days, so a notification they swiped away is still there.
  • Your links, your list and directions, the same as a visitor sees, under their card.

Offers that haven't started yet and offers for a higher level don't show. Anything used or ended moves to Used and ended, which keeps the last 30 days.

Only your loyalty programs and coupons appear. Flyers, business-card passes and other passes that aren't programs never show on the page.

What a visitor sees

Someone without your card sees your logo and cover, your links, your list, directions, and every program you show on the page with a Get your card button. Offers open to every member show too, marked Join to use, so there is a reason to join.

How customers get to it

Once your customer portal is switched on (see Switching it on below):

  • Right after they join. Once the card is in their wallet, the sign-up page turns into their page.
  • From their wallet card. Every card carries a My rewards link on the back, on iPhone and Android, including cards added before you switched it on.
  • From your link and QR code: `passtastic.io/your-address`. Put it in your Instagram bio, on your counter and on your receipts.
  • From their home screen, if they added the page there. From their second visit, the page shows them how.
  • By signing in. On your page, Already a member? Sign in asks for the email on their card. The next screen says a 6-digit code was sent *if* that email has a card with you; it never says whether it does, so a mistyped address looks the same as a slow email. Try another email goes back, and Get your card appears when you have a program to join. A customer who never gave an email sees "No email on your card? Ask [your business name] to send you your card link" under the email field, and you can send it from Customers. That is also how someone on a new phone gets back in.

When customers are asked for a code

Looking never needs a password. The 6-digit email code is asked for only:

  • before paying: buying more store credit or managing a paid membership;
  • before changing their details;
  • to see visit history and messages after opening a My rewards link someone else forwarded;
  • to show the code of a card that has Require login before adding turned on.

A forwarded link shows the card's status, offers and code, never where and when someone has been.

What customers can change about themselves

A member opens My details on their page (after entering an email code):

  • First name and email are theirs to edit.
  • Phone is shown but can't be changed there: it says to ask your business. Change it for them in Customers.
  • Birthday can be set once. After that it is shown with the same "ask your business" note.
  • Send me offers by SMS appears only if your business sends SMS.

A member whose card has no email sees Add your email to protect your card instead: they type an address, get a 6-digit code, and from then on can sign in on a new phone and keep their card.

At the bottom, Delete my card shows what would be removed and, once they confirm, sends you a request. Nothing is deleted until you act: see Delete a Customer Permanently.

When a customer asks to delete their card

In Customers the customer carries a Deletion requested tag, and their page shows who asked and when, with two buttons:

  • Erase opens today's Delete permanently tool (admins and owners). It removes the customer and voids the wallet card for good, and it ends the customer's sessions so their page stops opening.
  • Dismiss (editors and above) clears the tag and deletes nothing.

Using a reward or an offer at the counter

1. The customer taps the reward or offer, then Use at the counter. A code for that one item appears, valid for 15 minutes.

2. Your staff scan it with the Passtastic scanner app, the same way they scan a card. The scanner shows the item at the top, with Confirm. For a reward that costs stamps or points, a line under the reward name says what Confirm takes off the card, for example "Uses 10 stamps" or "Uses 120 points". Nothing is taken when the code is scanned; your staff always tap Confirm.

3. After Confirm, the customer's screen shows it as used, and anything your staff add next, like a stamp, shows there too.

If an item can't be used (already used, ended, not started yet), the scanner says why and offers Continue with the card. A scanner app from before this update opens the customer's card instead. See What Your Staff Sees When a Campaign Is Active.

If the scanner is at a shop where that program doesn't run, or the card was refused, the customer's code screen says so in one line ("This card can't be used at this location." or "The cashier could not accept this card.") with the link "Show my card instead", which opens the card's own code.

Shaping it in Customer portal

Open Customer portal from the sidebar. You edit on one side and see the page on the other, with Live Preview switching between Member and Visitor. If your shops have their own pages, pick the shop at the top.

  • Basic Info and Design: logo, cover image and Brand color. Text colours are picked for you so they stay readable on your colour.
  • Links & Social: your buttons and social profiles, plus your address for directions.
  • List: a menu, price list or rewards, built from your Items. Items with a photo show it beside the name; customers tap one to see the photo full screen and swipe to the next. See Items & Rewards.
  • Programs on your page: which programs a visitor can join. Each program also has a Show on your customer portal page switch in its Setup.
  • Offers and benefits: what members can see now. Each line opens where it is edited: offers in the campaign builder, included benefits in the program's Setup. New offer starts an Always in the app offer; see Always in the App: Offers Every Member Can See.
  • Last message: the latest message you sent, with a shortcut to send a new one.
  • Results · last 30 days — page opens, members who opened it, offers used, cards from the page and link taps.

Switching it on

If your business was with Passtastic before the customer portal arrived, you switch it on yourself, when your page is ready. Until then your customers see your page as before, and their wallet cards don't change. Businesses that sign up now have it on from the start.

1. Click Preview in the bar at the top of your dashboard, "Give your customers their own page: card, rewards and offers in one place.", or open Customer portal from the sidebar.

2. Look at the Live Preview in Member view: that is what a customer sees after joining. Add a cover and your links if they are missing.

3. Click Switch on for my customers, read what changes, and click Switch on.

Then:

  • every customer's wallet card gets a My rewards link on the back over the next few hours, without a notification;
  • new customers land on your page right after they join;
  • the bar at the top says "Your customers have their page" until you close it.

Only an owner or an admin can switch it on. Editors and viewers see the bar with "Ask the owner or an admin to switch it on". Not now hides the bar for you for 14 days. It is on every plan.

Your page's address

Your page lives at `passtastic.io/your-address`. A business that never claimed an address still has a working page, at a longer address made of its account number. In Customer portal the status card then shows that address with Claim a name beside it, and a short Get your page ready list (add a cover, add your links, claim a page address) until each is done. Old links keep working: your printed QR codes, `passtastic.io/p/your-address`, and the customer links in emails sent before this update all open your page.

Turning it off

An owner or admin can click Turn off customer portal in Customer portal. Then:

  • the My rewards link leaves your customers' wallet cards, about 10 minutes later and without a notification;
  • your link shows your public page with your links and programs, and members no longer see their own page;
  • customers who pay you online can still manage their membership or buy more, and their card keeps its own manage link so they can change or cancel a membership;
  • nothing is deleted. Turn it back on and the link returns to their cards, again without a notification.

Common questions

Do my customers have to download an app?
No. It is a web page that opens from the My rewards link on their card or from your link. They can add it to their home screen if they want an icon.
Is it included in my plan?
Yes, on every plan, at no extra cost.
What happened to my business page?
It is your customer portal now: same address, same logo, links and list. Visitors see it as before; members also see their own card on it.
A customer forwarded their My rewards link to a friend. What can the friend see?
The card's status, its offers and its code, nothing about past visits or messages. To stop the old link working, open the customer in Customers and click Send a new member link.

A customer says the 6-digit code never arrived. The code is sent only when the email is the one on their card with you, and the page does not say whether an email has a card, so a mistyped address looks the same as a slow email. Ask them to check the address and their spam folder. Or send them a new member link from Customers.

A customer has no email on their card. Can they still use the page?
Yes, from the My rewards link on their card, and on the phone they joined with. On a new phone they can't sign in by email unless the card has an email, so send them a new member link from Customers.
How long do messages stay on the page?
180 days.

I don't see "Switch on for my customers". Either it is already on (you see Turn off customer portal instead), or you are an editor or viewer: ask the owner or an admin of your business to switch it on.

Does turning it off delete anything?
No. Programs, customers, offers and your page settings all stay.

A customer opened someone else's link on their phone. If the phone already shows one person's page and the link belongs to another person's card, the page asks "This is A…'s card. Switch to it?" with Switch and Not now, showing only the first letter of the name. Not now keeps the phone's own page and nothing changes. Only a member link or a code scanned from another phone can ask this: joining or paying never does, because the person holding the phone just did it.

A customer got a new phone. They open your page and use Already a member? Sign in with the email on their card, or open their My rewards link. After signing in, if the card isn't in this phone's wallet, the top of the page says "Your card is not in your wallet" with the wallet badge: Add to Apple Wallet on an iPhone, Add to Google Wallet on Android. Once it is added, a short message pops up saying "Card back in your wallet. Same balance."

The page says "No connection". No connection means the customer is offline. It says "The card in Apple Wallet still works at the counter" (Google Wallet on Android) and shows "Last updated" with the time, each card's code where that phone may show it, and Open your card in Wallet; the card in their wallet works at the counter without a connection.

A paid member sees "Top up at the counter" or "Ask at the counter" instead of a buy button. Top up at the counter and Ask at the counter mean your store credit or membership is taken at the counter, not online, so the page doesn't offer to pay. Staff top up or sign them up with the scanner or the Customers page.

A member's page says it is paused. The customer sees "This page is paused", with "[Your business name] has paused it for now. The card in your wallet still works at the counter." Nothing else is on that page, not even Manage membership or Buy more. Their wallet card keeps working at the counter.
