Upgrade or Reactivate Your Plan
Where to find it
Your plan sits in three places, each with the buttons that apply to you:
- Your avatar, top right. Click it and the menu shows your plan, how many trial days are left, and Upgrade plan. On a phone, tap your avatar in the top bar and it's in the same sheet.
- Settings. Open Settings from the sidebar — the strip sits right under the title.
- Subscription & Billing. Settings → Billing & plan → Subscription & Billing, at the top of the page.
The strip reads like this: Single Location · trial ends 3 Oct, with the buttons that apply to you next to it.
To compare every plan side by side instead, open Settings → Billing & plan → Plans.
Billing is owner-only. Admins, editors and viewers run your programs day to day, but they won't see these buttons at all.
Upgrade your plan
1. Click Upgrade plan anywhere above.
2. The dialog opens on the next plan up, already selected, and shows what it includes — locations, scanners, and API or Automations where the plan has them.
3. Pick Monthly or Annual. Both show the real price; annual also shows the yearly total and how much you save.
4. Confirm.
Want a different plan than the one offered? Compare all plans → at the bottom of the dialog opens the full list.
If you're on the trial
The button says Switch to Multi-Location (or whichever plan you picked), and under it: *Your trial still ends 3 Oct. Nothing is charged now.*
That is exactly what happens. Switching plans during the trial costs nothing today and does not move your trial end date — you simply spend the rest of your trial on the bigger plan. We don't ask for company details either; those come later, when money actually moves.
If you're already paying
Before you confirm, the dialog works out today's charge and shows it: *€60 charged today for the rest of this billing period.* You pay the difference between the two plans for the days left in the period you've already paid for, and the new plan's full price from your next renewal.
The button says Upgrade to Multi-Location, and nothing is charged until you press it.
Add your card during the trial
If you're on a trial with no card on file yet, the strip on Settings and on Subscription & Billing shows Add payment details. It's one screen:
- Monthly or Annual — pick how you want to be billed.
- Your card.
- Business details for your invoice — business name and address.
- VAT / tax ID (optional).
Then Save card.
The VAT / tax ID field is genuinely optional. You can save your card without it. But without a VAT number we may have to add VAT to your price, so if your business has one, it's worth putting in now — the screen says the same thing under the field.
Adding a card does not charge you. The screen tells you what will happen instead: *Charged €39 on 3 Oct when your trial ends.* Your trial runs to its normal end date either way.
Restart a plan that has ended
When a paid plan ends, your dashboard is walled off with Your Single Location plan has ended — because your customers' cards stop working until you turn it back on. The plan strip says the same thing, with Reactivate.
1. Click Reactivate.
2. The dialog opens on your last plan with Monthly selected. Annual is right beside it if you'd rather pay for the year.
3. Your saved card is shown — Visa •••• 1234.
4. Press Pay €39 and reactivate.
That charges the saved card straight away. Your bank may run its usual check; if it does, it happens right there in the dialog. Once it goes through, your programs and your customers' cards work again.
Want to pay with a different card? Change next to the card opens a card form in the same dialog and pays the same invoice with the new one.
Want a different plan? Choose a different plan → opens the full list.
If we don't have your business address yet, the dialog asks for it first — it goes on your invoice, and we need your country before we can work out the tax. Have a VAT number? Add VAT number recalculates the price, and you may not need to pay VAT at all.
Never had a paid plan? Then there's nothing to reactivate and you'll see Choose a plan instead. Pick one and you'll go through the normal checkout.
When a payment has failed
If the card on file bounces, the plan strip says Payment failed and offers one button: Update card.
That's deliberate. While a payment is outstanding we don't offer you anything that would charge the same card again — no upgrade, no add-ons, no switch to annual. A bigger charge on a card that just failed isn't an answer.
Update card opens your Stripe billing portal, where you add a working card and set it as the default. As soon as the card is updated, everything comes back: upgrading, add-ons and the annual switch all work again, and Stripe retries the outstanding charge on its own.

Billed through Shopify or IdoSell? Your plan lives in their admin, not ours, so Passtastic shows your plan line without any of these buttons. Fix the payment where you bought the app.
When your plan is set to cancel
After you cancel, your plan keeps running until the end of the period you've already paid for. Until then the strip shows your plan and ends 3 Oct, and no upgrade or payment buttons — there's nothing to buy on a plan that's on its way out.
To change your mind on a paid plan, open Settings → Billing & plan → Subscription & Billing and click Renew Subscription. That clears the cancellation and your plan carries on as before.
Cancelled during your trial? If you hadn't added a card yet, there is currently no button to switch the trial back on. Your trial runs to its end date; after that, Reactivate starts a paid plan. If you'd already added a card, Renew Subscription puts it back. Message us in the chat either way and we'll sort it out with you.
When you hit a limit
Add a scanner, a team member or a location beyond what your plan includes and Passtastic prices it for you at that moment, instead of blocking you:
- Still within your plan — a calm "included, nothing to pay", and you carry on.
- At your limit, with an add-on available — the exact monthly price, prorated from today, before you confirm.
- At your limit with no add-on for that resource, or still on the trial — Upgrade opens the same upgrade dialog as above, already showing a plan big enough for what you asked for. You no longer get dropped on the plans page to work it out yourself.
Add-ons only start once your paid plan does: during the trial the panel says *Add-ons can be added once your paid plan starts* and points you at the plan that already includes what you need. See Understanding plan limits.
