Renew a Membership
What it does
If your card has an expiry period (Card validity under Card details on the program's Setup tab), each member's card ends that many days after they added it. When a member pays again, Renew membership gives them another period on the same card:
- The card on their phone turns active again and shows the new end date. They don't have to add it again.
- Their level, points, stamps and history stay exactly as they were.
- They get an email: Your card was renewed, with the new date.
If the card isn't on their phone, because they took it out of their wallet or never added it, you can still renew them. Their email then has buttons to add the card to Apple Wallet or Google Wallet, and it comes back with everything on it.
Renew one member
1. Open Customers and click the member.
2. Open the ⋯ menu and choose Renew membership. The line under it shows the new end date.
3. Check the date in the dialog and click Renew.
The member's page now shows Expires with the new date. Before you renew, an expired member shows Expired with the date their card ended.
Renew many members at once
1. Open Customers and add the condition Card status: expired.
2. Tick the box at the top of the list, then click Select all N that match to include every page.
3. Click Actions and choose Renew membership, then Review. Act on these N, next to the conditions, opens the same actions for everyone who matches.
4. Check the date and click Renew N. You can renew up to 500 members at a time.
Members on a program without an expiry period are skipped, and the summary says how many.
How the new date is worked out
The new end date is the card's expiry period counted from today, or from the member's current end date if it hasn't passed yet. So renewing a member a month early adds a full period to their current end date: nobody loses the days they paid for.
