See Who Changed What

What this is for

If you run your loyalty program with a team, sooner or later you'll want to answer a simple question: *where did those stamps or that credit go?* Maybe a customer's balance looks different from what they remember, maybe you're closing out the evening shift and want to see what happened, or maybe you just want a habit of checking in. Passtastic now keeps a record of who made each change from the dashboard, so you can answer that in a few seconds instead of asking around.

This isn't about watching your staff — it's the same idea as a paper till log: a quiet record that's there if you ever need it, and otherwise stays out of the way.

Where it shows up

On a customer. Open Customers, click a customer, and go to their Activity tab. Each entry that was added or changed from the dashboard now names who did it. The action and its value still sit on the first line, exactly as before — "Stamp added" with "+3" beside it. What's new is the line underneath: it now leads with who did it, before the shop and the date — "Anna K · Centrale · 12 Aug". This is visible to Owners and Admins only — everyone else sees the entry exactly as before, without a name.

On a shop. Open Locations, pick a shop, and switch to its Activity tab. You'll see a second switch there: Scans and Changes.

  • Scans is the report you already know — every scan at that shop's registers, unchanged.
  • Changes is new: every stamp, point, note, or balance adjustment made from the dashboard at that shop, newest first, with who did each one and how many customers it touched. It's the quickest way to review a shift or a day at a glance, one shop at a time.

Why it's Admin and above only

Editors are the ones doing the day-to-day work — adding stamps, correcting balances, redeeming rewards. Seeing who-did-what is naturally a level up from doing it, the same way only Owners and Admins manage the team or the organization's settings. Nothing about this changes what an Editor can do; it only changes who can review it afterwards.

What you'll see for each entry

Most entries show a teammate's name. A few show something else instead, and each one means something specific — never a blank:

  • A staff member's name — someone on your team made the change from the dashboard.
  • "Automatic" — the system made the change on its own, like an expiring points balance.
  • "Former member" — made by someone who was on your team at the time but has since left. The action is still on record; only their account is gone.
  • "Integration" — made through the Passtastic API by a connected tool, not a person. See Using the Passtastic API.

Scans aren't duplicated here

A scan at the counter is already attributed to the device that scanned it — you can see that in the Scans view, same as always. The Changes feed is specifically for adjustments made from the dashboard, so it doesn't repeat what Scans already shows you.

Recording starts when this feature switched on

The Changes feed only knows about changes made after this feature went live. Anything from before that date genuinely has no recorded actor — not because it's hidden, but because it was never logged. Rather than show an empty list that could look like nothing happened, an empty Changes feed says plainly that recording hadn't started yet for that period. A quiet shop and an un-recorded one never look the same.

Common questions

Can I see who added stamps or points?
Yes — Owners and Admins see the name of whoever performed each action, both on a customer's Activity tab and in the Changes feed for each shop. Editors and Viewers don't see these names. Recording started when the feature was switched on, so actions from before then don't show a name.
I'm an Editor — why don't I see names on the Activity tab anymore?
You never lost anything you could see before — this is a new layer on top for Owners and Admins. Everything else on the Activity tab, and everything you can do day to day, works exactly as it did.
Does this cover things my POS integration or Zapier does?
Yes, if it goes through the Passtastic API — those entries show "Integration" rather than a person's name, so you can tell it apart from a manual change at the counter.
What if I need to double-check something from before this shipped?
There's no recorded actor for it — the feature only started logging on the date shown in an empty Changes feed. Everything from that point on is covered.
Does this replace the scan report?
No. Scans stays exactly as it was and is still the default view when you open a shop's Activity tab. Changes sits alongside it for the dashboard side of things.
