The Signup Confirmation Email
What the email is
Right after someone signs up for one of your cards, Passtastic sends them a single confirmation email — in their own language, from your business. It includes your business name, Add to Apple Wallet and Add to Google Wallet buttons, and a backup link to the card. If they've already added the card, tapping the buttons again is harmless — it just opens the same card.
Why it helps
Not everyone taps "Add to Wallet" the moment they sign up — a call comes in, they lock their phone, they get distracted at the counter. The confirmation email is the safety net: it sits in their inbox so they can finish adding the card later, from any device. It's also how a customer recovers their card if they get a new phone or lose the old one — they open the email and tap the button again. On by default
Starting August 17, 2026, the confirmation email is on by default for every card. You don't need to do anything to enable it.
Turning it off for a card
You may still want to turn it off for a specific card — say, one where sign-up already happens face-to-face and a follow-up email feels redundant. Open the card's Setup tab → Sign-up info → turn off Send customers an email with their card after signup. By default this is on: after signing up, the customer gets one email with Add to Wallet buttons — a backup link that helps people who get distracted before adding the card. One email per signup, never marketing.
This is set separately for each card. Changing it requires Editor access or higher — see Team Roles & Permissions.
The confirmation email only ever sends when the card's sign-up form (data collection) is turned on — with that off, the toggle above has nothing to fire from, whatever it's set to.
Where replies go
If a customer replies to the confirmation email, it goes to your support email. Set it under Settings → Organization → Email for customer questions — this is the address customers see, and where their replies to any card email land. (It's the same address as Business Page → Contact Info → Support Email; either place updates it.) We'd encourage setting this: without it, a customer reply has nowhere useful to land.
One per signup, and how customers opt out
Passtastic sends at most one confirmation email per signup, with a 24-hour window before the same customer could trigger another one — so retrying a form or re-scanning a QR code right after signing up won't spam their inbox. The email is never used for marketing, and every email includes an unsubscribe link so the customer can opt out of future emails at any time.
A forwarded copy doesn't create a second working card
If a customer forwards the confirmation email to someone else, the forwarded copy's Add to Wallet buttons still point at the *same* card. Both people installing it doesn't create two independent cards — installing on a second device deactivates the first, exactly as it does with any other sign-up link or QR code.
