Set Up Email Sending and Your Own Domain

Open Settings and choose Email sending. Everyone on your team can look at this page. Only an owner or an admin can change things on it.

Who the email comes from

The page says "Emails go out as [name and address]. Replies go to [your email]." Until you set up your own domain, emails are sent from a Passtastic address under your business name, and replies go to your support email (or the owner's email if you have no support email). You don't have to do anything else to start sending.

Your business address

Every email shows your business address, as the law asks. It comes from your main location. If it is missing, add it under Business address and click Save address. An email can't go out until you do.

Your monthly emails and extra packs

The page shows "This month: [used] of [included] emails · [extra] extra". The monthly emails depend on your plan: 5,000 for Single Location, 25,000 for Multi-Location and 100,000 for Groups & Brands. They reset each month. Under Extra emails you can buy packs of 10,000 emails; they never expire. The price is on the page, so see your plan for the details. Packs aren't available during the free trial.

Use your own domain

With your own domain, customers see an address they know, like hello@yourshop.com. It is a good idea, and you can skip it: sending works without it.

1. Under Use your own domain, type your Your domain, like yourshop.com.

2. Click Add domain. Your emails keep the same name before the @, e.g. regina@yourshop.com.

3. Passtastic shows a table with the records to add: Type, Name and Value. Use Copy on each line.

4. Add these records where you manage your domain (your domain provider). How to add these records has the steps. It can take a few hours to be found.

  • The Name is shown the way most providers want it, without your domain (for example `pt._domainkey`). If your provider asks for the full name, add your domain at the end (`pt._domainkey.yourshop.com`).
  • On Cloudflare, click each record's orange cloud so it turns grey and says "DNS only". Otherwise the records can't be found.

5. Watch the status:

  • Checking…: we are looking for your records.
  • Verified: done. Your emails now come from your domain.
  • Not found: check your records: something is missing or has a typo. Compare each record with the table.

Good to know:

  • A domain that is not verified within 72 hours is released, and we email you. Add it again when you are ready.
  • Use a domain you own. Free-mail domains like Gmail or Outlook can't be used.
  • A domain can be used by one Passtastic business at a time.
  • If a verified domain stops being found, emails go out from the shared address again until it is fixed. We check once a day.
  • To go back, click Remove domain and Yes, remove it. Emails then go from the shared address.

Editors can't change the domain. They see "Ask an owner or admin to set up your own domain".

If email sending is paused

If too many people mark your emails as spam, or too many emails bounce, Passtastic pauses email sending for your business and says why on this page. Your other channels keep working. Contact support to talk about it.
