Add a Scanner

Add a scanner

1. Open Locations from the sidebar and open the shop where the device will sit.

2. Scroll to the Scanners section (or use the Add scanner card under *Growing? Add the right thing*) and click Add a scanner.

3. Give it a Scanner name so you can tell your devices apart in Activity (e.g. "Front counter", "Till 2").

4. Under Which cards can this scanner accept?, choose All cards (recommended) or Only certain cards if the device is for one program.

5. (Optional) Set a wait between stamps, a max points-per-hour cap, or add labels.

6. Click Create login.

Get the key onto the device

1. The Add a scanner window opens with a QR code and the device's key. On the Passtastic Scanner app, scan the QR code to sign the device in — or click Copy and enter the key by hand.

2. Store the key safely — anyone with it can use your scanner.

Tip: You can reveal the key again later with Show key on the device in the Scanners section.

Use several phones or tablets

Yes — you can scan from more than one device. A phone at the counter, a tablet at the till, one per staff member. Any iPhone or Android phone works; there's no special hardware to buy.

Each device needs its own scanner login. Repeat the steps above once per device and give each a name you'll recognise in Activity — "Front counter", "Till 2", "Kate's phone". That's how you tell later which device recorded a scan.

Don't share one key across devices. If a phone goes missing or someone leaves, you can revoke that one login without signing everyone else out — and your Activity feed stays meaningful.

Scanners are shared across your whole business, not tied to one shop: the count you see ("X of Y used") is business-wide. How many you get depends on your plan, and you can add extras without changing plan.
